How we collect, use and protect your personal information, and the rights you have over it.
What information we collect
We collect only what we need to quote for and carry out work: your name, email and telephone number; the address, postcode, type and size of the property; anything you tell us in a form, email, WhatsApp message or phone call; the findings, readings, photographs and certificates produced during our work; and tenant contact details where you ask us to arrange access directly.
How we use it
To respond to enquiries and provide quotations, schedule and carry out inspections, issue certificates and reports, take payment, keep the records we are legally required to keep, and contact you when a certificate is approaching expiry.
Our lawful bases
Contract — processing necessary to quote for and deliver the services you asked for. Legal obligation — retaining gas safety records and electrical certificates for the periods required by law. Legitimate interests — responding to enquiries, keeping business records and reminding clients when a certificate is due. Consent — any marketing, which you may withdraw at any time.
Who we share it with
We do not sell your personal data and do not share it for marketing. We share it only where necessary: with the engineer attending your property; with certification bodies where a certificate must be lodged, such as the national EPC register, Gas Safe Register or Building Control; with our payment and accounting providers; and with a public authority where legally required.
How long we keep it
Gas safety records are kept for a minimum of two years as required by the Gas Safety (Installation and Use) Regulations 1998. Electrical certificates and inspection reports are retained for a minimum of six years. Enquiries that do not result in a booking are deleted within 12 months. Accounting records are kept for six years as required by HMRC.
Your rights
Under UK GDPR you have the right to be informed, to request a copy of the data we hold, to have inaccurate data corrected, to request erasure where we have no overriding legal obligation to retain it, to restrict or object to processing, and to data portability. To exercise any of these, email info@e-powerline.com. We respond within one month.
Security and cookies
We hold personal data on access-controlled systems and limit access to staff who need it. This website does not set advertising or tracking cookies; any cookies used are strictly necessary for the site to function.
